Pithflow processes your speech to convert it to text. To do this we collect:
Audio is sent to Groq Inc. for transcription via Whisper Large v3 Turbo, then to Groq again for cleanup using Llama 3.3 70B. Both pass through our Cloudflare Workers proxy. We do not store your audio after transcription completes — the audio file is discarded once the cleaned text is returned.
Your dictation history stays on your own computer. It lives in a local database in your Windows app-data folder. We do not have a copy: no dictation you make is written to our database, and there is no way for us — or anyone we work with, or anyone asking us — to retrieve what you dictated. That history is not pruned automatically; it stays until you uninstall Pithflow or delete the file.
Recorded meetings are the one exception. If you open the Meetings tab and press record, we keep that meeting's written transcript and the notes we build from it in your Pithflow account, on our servers. Nothing is recorded until you press record, and no ordinary dictation is ever kept there. The audio is still discarded the moment it becomes text — only the text is kept. Delete a meeting in the app and its transcript and notes go with it.
To be precise about the part that does leave your machine: your audio is uploaded so it can be transcribed, and the finished text is sent back. For dictation, what we promise is not that it never leaves, but that we do not keep it. For a meeting you chose to record, we do keep the text — that is the whole point of it, and it is why recording is something you start deliberately rather than something that happens to you.
Your dictionary terms and snippets are different. Those sync automatically to your Pithflow account on every plan, including Free — they have to, because they are what tells the transcriber which words you actually use, so it stops mishearing them. Free accounts can sync up to 25 dictionary terms and 10 snippets; paid plans are uncapped. Team plans also have a shared dictionary the team owner manages, kept separate from each member's personal entries. Sync is not optional: if you would rather a term was not stored on our servers, do not save it in the dictionary.
Pithflow can connect to an AI assistant such as Claude or ChatGPT, so you can ask it about your own Pithflow data. This is off until you turn it on, and there are two separate pieces with meaningfully different reach.
The remote connector is the one you add inside Claude or ChatGPT. It is read-only, and it can see four things: your saved dictionary terms, your snippets, your usage totals with your plan name, and any meetings you have recorded — including their notes and their full transcripts. It still cannot read your dictations — not because we withhold them, but because they are not on our servers to read. It cannot write, change or delete anything. And it cannot reach anyone else's data: the account is taken from the access token you authorised, never from anything the AI assistant sends.
Connecting it means the AI provider you chose receives those terms, snippets and counters — and, if you ask it about a meeting, that meeting's transcript. Their handling of that data is governed by their privacy policy, not ours. If that is not what you want, do not connect it, or delete the meetings first.
The local connector runs on your own computer and can read your full dictation history, because that history is right there. Reading it sends nothing to us. Its editing tools are the exception worth naming: adding or removing a dictionary term or snippet through it syncs that change to your account, exactly as the same edit in the app would.
Access is granted with your Pithflow email and password on our own consent screen; we use them for that one sign-in and never store them. An access token lasts one hour and a refresh token 60 days of inactivity, held in Cloudflare KV. Remove the connector in Claude or ChatGPT to stop it being used, and email privacy@pithflow.com if you want the stored tokens deleted immediately.

If you connect the Pithflow connector, the AI provider you chose — Anthropic or OpenAI — also receives the data described above. That is your choice to make and to undo.
You can request export or deletion of your data at any time by emailing privacy@pithflow.com. We respond within 30 days. Your dictation history is on your own computer, so you can delete it yourself at any time by removing Pithflow's app-data folder — you do not need us for that, and we could not do it for you. Meetings are the opposite: they are on our servers, so you can delete any of them from the Meetings tab, and we can delete them for you if you ask.
