Getting started

What is Flow?

Flow is a desktop voice dictation app for Windows and Mac. Hold a hotkey, speak naturally, and Flow types polished text — with filler words removed, punctuation fixed, and your chosen tone applied — into any app you're typing in.

How do I install Flow?

Download the installer from the Download page (~5 MB on Windows or Mac). Run it. Sign in with Google or email. Hold Ctrl+Space, speak, release — text appears wherever you're typing.

Does Flow work on my OS?

Windows 10 and 11 (64-bit) and macOS 13 (Ventura) and newer. iOS and Android apps are planned for Phase 5. Linux is on the roadmap but not committed.

Do I need a microphone?

Yes. Any built-in laptop mic works for casual use. For best accuracy, a USB or wireless headset mic helps in noisy environments.

Pricing & plans

How much does Flow cost?

Free forever for casual use (2,000 words/week). Pro is $16.99/month for unlimited dictation, with a 7-day free trial. Team is $49.99/month for up to 5 seats. Enterprise is custom.

Is the free tier really free?

Yes — no card required. You get 2,000 dictated words per week, all 100+ languages, AI cleanup, snippets, and the dictionary. The cap resets every Monday.

What's included in the 7-day Pro trial?

Unlimited dictation, hands-free mode (Phase 2), cloud sync, priority support. A payment method is required to start; you can cancel anytime within 7 days at no charge.

What's the Team plan?

$49.99/month for up to 5 seats ($10/seat). Includes everything in Pro × 5 users, plus shared snippets and dictionary, an admin dashboard, centralized billing, and the ability to add or remove members anytime. Members get the same usage as Pro.

Can I upgrade from Pro to Team?

Yes. From the desktop app: Settings → Account → Manage subscription opens Stripe Customer Portal where you can swap plans. Your prorated balance is applied automatically.

Do you offer regional pricing?

Yes. Mexico: $329 MXN/month for Pro. India and other LATAM markets get equivalent purchasing-power pricing applied at Stripe checkout based on your country.

How do I cancel?

From the desktop app: Settings → Account → Manage subscription. Or email hello@flow.app. Subscriptions cancel at the end of the current billing period — you keep access until then.

Languages & accuracy

What languages does Flow support?

100+ languages, powered by Whisper Large v3 Turbo. Top tier (excellent accuracy): English, Spanish, Portuguese, French, German, Italian, Mandarin, Japanese, Korean, Arabic, Hindi, Russian, Turkish. Strong tier covers Ukrainian, Czech, Romanian, Hindi/Indian languages, Indonesian, Thai, Hebrew, Vietnamese, and more.

Does it auto-detect language?

Yes — by default. Flow detects the language at the start of each dictation. You can also pin a specific language in Settings → Languages if you only ever dictate in one.

Does code-switching (Spanglish, Hinglish) work?

Hinglish is supported well. Spanish-English code-switching mid-sentence works but tends to default to whichever language dominates. For best results, dictate one language per session.

Why is a word being mis-transcribed for me?

Add it to your Personal Dictionary (Settings → Dictionary). Flow will correct that exact word in every future dictation. Good for proper nouns, brand names, technical jargon.

Privacy & data

Where is my audio sent?

By default: Groq (transcription) and Anthropic/OpenAI (cleanup). Audio is processed in real time and not stored after transcription completes — within a few hundred milliseconds it's gone. Cleaned text is stored locally on your device unless you enable cloud sync.

Do you train models on my voice?

No. We don't train on your audio or text. Our subprocessors (Groq, OpenAI, Anthropic) have similar zero-retention agreements per their TOS for paid usage.

Is Flow HIPAA compliant?

HIPAA BAA support is on our Enterprise tier (planned Q4 2026). Pro and Team plans are not currently HIPAA-eligible. For healthcare use, contact us about Enterprise.

What if I'm offline?

Flow needs an internet connection (audio goes to Groq for transcription). Offline mode using local Whisper is not currently supported. SuperWhisper is the better choice if offline is a hard requirement.

Hotkeys & shortcuts

Can I change the hotkey?

Yes. Settings → Hotkey. Pick any combination — Ctrl+Space (default), Right Alt hold, F12 toggle, etc. You can configure separate hotkeys for push-to-talk and hands-free mode.

What's the difference between hold and toggle?

Hold: hold the key while speaking, release to transcribe. Toggle: tap once to start, tap again to stop. Hold is faster for short utterances; toggle is better for longer dictation when you don't want to keep your finger on a key.

What's hands-free mode?

A separate hotkey that always works as toggle. Useful for long-form dictation (up to 20 minutes per session) where you're brainstorming and don't want to babysit a key. Available in v0.2.

Team plan

How do I invite members to my team?

After subscribing to Team: Settings → Team → Invite member. Enter their email, click Send. They receive a link, click to join, automatically become a member. You can see seat usage (1/5, 2/5, etc.) and remove members anytime.

Can I add more than 5 seats to Team?

The Team plan is capped at 5. For 6+ seats, contact us about Enterprise pricing — we'll quote based on team size and any compliance needs (SSO, HIPAA, audit logs).

Can teams share snippets and dictionary entries?

Yes. Team-shared snippets appear in every member's snippet list. Personal snippets (created without team-share) stay private. Same for dictionary terms.
